Position Summary
We are seeking a detail-oriented Part-Time Bookkeeper / Staff Accountant to support our finance operations. This role is responsible for client and media vendor invoicing, agency and media accounts payable, payroll processing, and general bookkeeping. The ideal candidate is organized, reliable, and comfortable working with accounting systems in a fast-paced agency environment.

Key Responsibilities
Accounts Receivable & Billing
- Prepare and send client invoices
- Review and maintain A/R aging reports
- Post cash receipts
- Prepare periodic client billing reconciliations (per client contracts or as requested)
- Reconcile invoice file to Sales Journal (monthly)
Accounts Payable & Payments
- Maintain vendor records, including W-9s and credit applications
- Match vendor invoices to orders and resolve discrepancies
- Enter vendor invoices, including job cost entries, into A/P system
- Review A/P aging reports
- Prepare weekly vendor check payments
- Support annual 1099/1096 preparation
Banking
- Monitor daily bank activity for exceptions, fraud alerts, and balances
- Perform monthly reconciliations for checking and money market accounts
- Monitor credit card activity daily (Facebook, Google, etc.)
Payroll & Benefits
- Process monthly payroll
- Upload and fund 401(k) contributions (Fidelity)
- Upload and fund HSA contributions
Qualifications
- 3+ years of bookkeeping or accounting experience (agency experience a plus)
- Proficiency with accounting software (experience with Advantage preferred, or similar)
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities with accuracy and timeliness
- Experience with payroll and benefits processing preferred
Compensation & Schedule
- Part-time, approximately 15–20 hours per week. While the schedule is flexible, the role requires brief daily log-ins to monitor banking activity.
- Hourly rate: $25–$30, commensurate with experience
