We are seeking a dynamic and experienced
Executive Administrative Assistant to provide high-level support to a
Vice President and Senior Vice President within the TOQ organization. The ideal candidate is a proactive team player who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and collaborates well with other administrative professionals to ensure smooth daily operations across the department.
Responsibilities:
- Provide calendar management support, including scheduling complex multi-time zone meetings and recurring sessions.
- Manage expense reporting through Concur.
- Coordinate domestic travel arrangements, including flights, accommodations, and transportation.
- Assist with planning and logistics for large meetings and company-sponsored events.
- Support vendor setup and purchase order requests via Ariba (preferred).
- Prepare meeting materials, PowerPoint presentations, and assist with ad hoc projects.
- Maintain and manage highly confidential information with discretion.
- Collaborate with other Executive Assistants to meet department needs and provide back-up support across teams as necessary.
- Submit facilities requests and manage catering and onsite logistics as needed.
Requirements
Qualifications:
- Bachelor's Degree with 3+ years of administrative experience OR
- Associate's Degree with 5+ years of experience
- OR - High School Diploma/GED with 7+ years of experience
- Proficiency with Microsoft Outlook, Word, PowerPoint, and Excel (basic skills required).
- Experience with Concur and Ariba systems preferred.
- Outstanding verbal and written communication skills.
- Strong organizational skills and the ability to prioritize and multitask in a high-volume environment.
- Professional discretion with handling confidential and sensitive information.
- Ability to work independently, take initiative, and follow through on responsibilities.
