Executive Assistant to COO
Boston, MA (Hybrid)
We are representing a leading organization in the financial services space seeking a highly capable Executive Assistant to serve as a key partner to the COO. This is a high-trust, high-visibility role for someone who thrives in a fast-moving environment where priorities shift quickly and precision matters.
This opportunity is best suited for an EA with 4–8 years of experience supporting senior leaders or C-suite executives. The ideal candidate is calm under pressure, highly resourceful, and skilled at staying several steps ahead in managing executive needs, communications, and strategic priorities.
What You’ll Be Doing
- Own and optimize a complex, ever-changing executive calendar across multiple time zones and stakeholders
- Coordinate end-to-end travel logistics, both domestic and international
- Prepare briefing materials, presentations, and executive-level documentation
- Monitor and drive follow-ups on key deliverables, decisions, and action items
- Act as a trusted point of contact for senior leaders, external partners, and clients
- Support confidential initiatives and high-priority strategic projects
- Help coordinate leadership meetings, planning sessions, and firm-wide events
- Manage expense reporting and related administrative processes with accuracy
What We’re Looking For
- 4–8 years of experience in an Executive Assistant or similar senior support role
- Background in financial services, investment management, consulting, or other fast-paced environments preferred
- Exceptional organizational instincts and strong attention to detail
- Strong written and verbal communication skills
- Ability to manage ambiguity, shifting priorities, and time-sensitive requests
- Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
- Strong judgment, discretion, and professionalism in handling sensitive information
- Proactive mindset with the ability to anticipate needs before they arise
- Interest in philanthropy or mission-driven work is a strong plus
What’s Offered
- Competitive base salary range of $95,000–$125,000
- Eligibility for 10% bonus range
