Job Description: Reporting directly to the Sr. Director of Administration, the Human Resources Generalist will support a wide range of human resources functions across the employee lifecycle. This mid-level role is ideal for a self-starter who is passionate about people, process improvement, and fostering a positive, inclusive workplace culture. You will work closely with the Senior Director of Administration (SDA) and staff across the organization to ensure a welcoming, equitable, and compliant work environment while taking ownership of key HR areas including employee relations, talent acquisition, HR compliance and process improvements. The ideal candidate will be proactive, collaborative, and detail-oriented.
RESPONSIBILITIES:
Employee Experience & Engagement
- Serve as the primary point of contact for employee relations and non-escalated conflict resolution, collaborating closely with leadership on related matters
- Facilitate conversations regarding performance issues, conduct regular check-ins, draft corrective action forms and performance improvement plans (PIPs), collaborate with supervisors to monitor progress, and meet with employees to review development and improvement milestones
- Manage the full offboarding process, including conducting exit interviews, collecting feedback, ensuring return of organizational property, processing final paperwork, and coordinating final pay and benefits
- Maintain compliance with legal and organizational requirements throughout the process
- Partner with the SDA to facilitate performance management cycles and support employee development planning
Talent Acquisition & Onboarding
- Manage full-cycle recruitment process from job posting to offer, including candidate sourcing, screening, and interview coordination, reference checks, background check process, while managing the Applicant Tracking System
- Partner with hiring managers to define role requirements and selection criteria, and assist in creating evaluation rubrics to ensure consistency and fairness in the hiring process
- Lead and coordinate onboarding efforts, focusing on document management, general orientation facilitation, and collaboration with hiring managers to implement effective onboarding plans that create a smooth and welcoming new hire experience
- Maintain accurate candidate and onboarding records in Paychex
HR Operations & Compliance
- Maintain and audit employee records and documentation in compliance with legal and organizational standards
- Partner with the Senior Director of Administration to manage leave of absence programs, accommodations, and compliance reporting
Policy & Process Improvement
- Collaborate with the SDA to review, develop, and implement HR policies and procedures to ensure compliance and alignment with organizational goals
- Identify opportunities and implement solutions to elevate HR service delivery
- Stay informed on HR trends and recommend best practices
Payroll and Benefits
- Provide limited backup support to the Senior Director of Administration for biweekly payroll by reviewing timesheets, verifying key employee data, and performing basic deduction and benefits checks
- Assist with vendor coordination on routine questions or minor discrepancies as needed
- Collaborate with SDA to coordinate annual open enrollment and benefits education initiatives
QUALIFICATIONS:
- 3–5 years of progressive HR experience, with demonstrated ownership of key HR functions and people operations
- Knowledge of muti-state employment laws, and has the initiative to seek guidance and support as appropriate
- Demonstrates knowledge of HR operations and best practices across key HR functions
- Proficient in managing employee relations issues, leading investigations, and providing timely resolutions
- Demonstrates full cycle recruitment experience, including sourcing, screening, interviewing, and coordinating onboarding activities for a variety of roles across the organization
- Ability to handle sensitive and confidential information with care and discretion
- Proficiency with Human Resources Information Systems (HRIS) and productivity tools (e.g., Microsoft Office)
- Familiarity with Applicant Tracking Systems (ATS)
- HR certification (e.g., PHR, SHRM-CP) is a plus, but not required
- Experience working in a nonprofit, mission-driven, or multi-site organization
- Familiarity with Paychex, a plus, but not required
- Comfortable working in a collaborative, mission-driven environment; strong interpersonal skills, with the ability to navigate diverse personalities and maintain professional boundaries
- Self-starter with strong initiative, able to work independently, anticipate needs, and drive tasks forward without constant supervision
- High degree of self-awareness, with the ability to recognize personal strengths and limitations
- Demonstrated accountability, including ownership of tasks, follow through, and proactive communication when challenges arise
