Temporary summer position on Nantucket. Evening shifts during the week and day shift on Saturdays.
Job Summary
Performs switchboard, receptionist, and clerical functions for the Hospital.
Essential Job Duties and Responsibilities
- Operates the Hospital’s telephone, beeper, paging, and radio systems promptly and efficiently.
- Answers internal and external calls promptly and courteously and determines the nature of calls and directs calls appropriately.
- Releases information in accordance with Hospital policy and procedure.
- Maintains a current listing of patient’s names, room numbers and extensions.
- Maintains a list of phone numbers for on-call personnel and hospital staff.
- Keeps accurate records of consulting physicians’ telephone numbers and schedules and makes appointments in the appropriate manner.
- Provides courteous attention, direction and information to Hospital visitors, patients, and co-workers.
- Maintains an accurate listing of patients who will or will not receive telephone calls and visitors and directs calls and visitors appropriately.
- Maintains the Hospital’s sleep sheet on a daily basis.
- Promptly reports suspicious or questionable persons, activities, or telephone calls to the Manager of Plant Engineering/Safety Officer.
- Provides clerical and copying assistance to staff, including FEDEX procedures as requested.
- Maintains work area in a tidy manner and stores supplies properly.
- Prepares cash sheets listing patient payments and/or miscellaneous cash listings on an as needed basis.
- Processes requests for the purchase of employee airline/boat tickets in accordance with policy, ensuring processing within applicable time limits.
- Sorts and distributes mail and faxes in a timely, accurate and discreet manner.
- Completes deposit slips as directed.
- Demonstrates the ability to utilize proper procedures in the event of a disaster or threat to security.
- Ensures the postage meter is maintained and assists staff with mailings.
- Maintains new computerized telephone database. Distributes hardcopies to all departments when updated.
Essential Qualifications, Knowledge, Skills, and Abilities Required for the Position
Knowledge of:
- Working knowledge of Microsoft Office applications
- Knowledge of medical terminology preferred.
Skills:
- Must be able to demonstrate adequate technical skills and judgment to function unsupervised during on-call, second shift, and weekend hours.
- Must have computer skills and type 50 WPM.
- Excellent communication skills required.
Ability to:
- Ability to supervise volunteers and interns.
- Ability to tactfully communicate with both internal and external customers.
- Ability to handle stress and work in emergency situations. Ability to use of fingers and hands to operate all department-related equipment as described on the Department checklist. Additionally, must use beeper, telephone, calculator, fax, and other related office equipment.
- Ability to frequently bend, using back and knees.
- Ability to stand and walk 10%, sit 90% of the time. Ability to frequently climb, bend, reach, stoop, squat, help lift objects from five to fifty pounds and move patients via wheelchair or stretcher. Ability to lift from five to twenty-five pounds.
- Ability to present themselves in a professional manner.
Credentials and Experience Required
- High School Degree or GED required.
- Must be able to clearly read/write the English language.
Special Requirements
- Regular workweek requiring minimal additional hours.
- Must be available to work in the case of a declared hospital emergency.
