We are looking for a highly organized, emotionally intelligent, and proactive Talent Coordinator to support talent booking and athlete programming across the organization.
This role serves as a central operational partner, helping coordinate talent bookings, athlete appearances, marketing assets, and event execution across multiple venues and CardVault locations.
The right candidate thrives in a fast-paced live events environment, balancing logistics, talent relations, and cross-team communication to ensure events and appearances are executed seamlessly.
This position sits at the intersection of sports, music, live entertainment, and fan engagement, helping shape the experiences that bring the CardVault community to life.
What You’ll Do
As a Talent Coordinator, a typical day might include the following:
Talent Booking & Programming
- Supporting booking and coordination of DJs, music artists, and performers for venues and special events across the Northeast and United States
- Assisting in securing and managing athlete appearances, autograph signings, meet-and-greets, and special fan activations
- Preparing and sending talent offers, deal memos, and booking documentation
- Maintaining organized booking calendars, contracts, and talent records
- Tracking negotiations, confirmations, and deliverables with agents and managers
Executive Coordination
- Acting as a trusted operational partner and right-hand
- Helping manage priorities across multiple projects and business units
- Ensuring seamless communication between talent teams, venue operators, marketing, and leadership
Marketing & Creative Alignment
- Reviewing and coordinating event artwork and promotional materials
- Partnering with marketing teams on announcement timelines and social campaigns
- Ensuring talent contractual obligations related to promotion and social media are fulfilled
- Assisting in developing messaging and rollout plans for major events and appearances
Event Execution
- Coordinating talent logistics including schedules, travel, hospitality, and event timelines
- Supporting planning for grand openings, special activations, and marquee events
- Maintaining clear documentation around budgets, talent fees, and settlements

- Ability to manage multiple projects and timelines simultaneously
