MILL5 is a growing software consulting and AI company working with organizations across various industries, providing software consulting, performance engineering, and managed services offerings, focused on Cloud Computing, AI/ML, Data, IoT, Analytics, Modern Applications, and Security. We have a global footprint with offices in the United States, Latin America, Europe, and Asia.
We are looking for an Office Administrative Assistant in our Boston office. This is a great opportunity for someone who wants to progress in their career with a growing company.
Responsibilities
- Assist with administrative and clerical tasks such as inbox management, correspondence, inquiry triage, scheduling, and priority coordination.
- Support meetings with logistics, materials, notes, action tracking, and follow-through.
- Support operational and clerical work for management and teams.
- Light accounting work such as accounts payable, accounts receivable, expense management, and time tracking.
- Manage office systems, equipment procurement, supplies, vendor partnerships, and coordination.
- Serve as the primary contact for vendors, IT providers, and property management, and coordinate issue resolution.
- Support communication and documentation with strategic partners (ex. Microsoft).
- Provide support to sales and marketing teams as needed.
- Coordinate domestic and international travel for management and staff.
- Support HR administration including interview scheduling, onboarding, and benefits administration.
- Coordinate internal meetings, off-sites, and company events.
- Maintain confidential documentation and records.
- Draft, edit, and schedule communications and social content.
- Use AI and digital tools to draft content, summarize information, organize documents, and automate workflows with discretion.
Qualifications
- Bachelor’s degree preferred.
- Tech-savvy with strong Microsoft Office skills.
- Exceptional organization, communication, discretion, and follow-through.
- Ability to manage high-volume, urgent priorities with accuracy.
- Professional presence and strong interpersonal skills at all levels.
- Familiarity with sales, marketing, HRIS, and accounting systems is a plus.
- Must work on-site in our Boston office at least 4 days per week.
- Must sign and adhere to a strict NDA prior to beginning work.

Compensation
- Salary Range $45,000 to $55,000 + bonus + benefits
This role is based in Boston, MA with the expectation of being in the office four days per week (Monday through Thursday).
