Job Description
The Vice President of Finance will report to the President & Chief Executive Officer and be responsible for the administration of agency financial planning and management activities, and the supervision of finance staff. The Vice President of Finance will also ensure the following: sound fiscal management of Cooperative Production Inc.’s resources; maximize efficiency and productivity by establishing and/or maintaining rigorous financial policies, procedures, controls and reporting systems; to lead and ensure value added financial support is provided to all the departments and programs within the agency. Duties shall be conducted in conformance to sound management practices and support community-based services for people with developmental disabilities.
Qualifications
- Minimum of Bachelor’s degree or a Master’s degree in accounting, with a minimum of ten years of senior management experience.
- CPA preferred but not required.
- Nonprofit or related health care experience is strongly preferred.
- Hands-on management experience will be required with journal entries, closing books, reconciling accounts, periodic reporting, and presenting financial statements to senior leadership and board members.
- Experience in 501(c)(3) organizations with diverse public sector funding and contracts. Prior experience with the Massachusetts Department of Developmental Disabilities or other state agency funding is desirable.
- Ability to effectively manage accounting department which encompasses a revenue range from $35 to $40 million, over 30 locations, and an average of 400 employees.
- Analytical self-starter who produces quality work in a timely fashion.
- Strong emphasis on teamwork; motivation to support Cooperative Production Inc’s mission with external audiences.
- Demonstrated excellence in communications and presentations.
- Possession of a valid driver’s license and agreement to use one’s auto for business matters.
- Acceptable Criminal Offender Record Information (CORI) check and fingerprint check.
Essential Duties
- Serve as senior management lead for financial matters.
- Oversee and ensure integrity of all accounts, ledgers, and reporting systems.
- Ensuring compliance with regulatory requirements and appropriate generally accepted accounting principles including completion and verification of monthly close activities.
- Develop and maintain internal controls and safeguards for receipt of revenue, costs, actual expenditures, and program budgets.
- Consistently analyze financial data and compare actual results with a view to identify and explain variances as appropriate. Present monthly financial reports to the President & CEO in an accurate and timely manner.
- Oversee and lead annual budget planning process in conjunction with the President & CEO; prepare the annual budget; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status.

- Manage organizational cash flow and provide financial forecasting, for administration, existing programs, and proposed new sites/programs.
- Oversee a robust contracts management system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
- Coordinate and lead the annual audit process, act as a liaison with external auditors.
- Supervise and support finance staff. Leverage strengths of the current finance team members help to clarify roles and responsibilities and develop and implement training to maximize skills and reach optimal individual and organizational goals by providing annual performance evaluations or performance feedback as needed.
- Provide leadership in strengthening internal communications with staff at all levels throughout the organization; create and promote a positive and supportive work environment.
- Update and implement all necessary business policies and accounting practices; develop/improve the finance department’s overall policy and procedure manual.
- Effectively communicate and present critical financial matters to the President & CEO.
- Coordinate, facilitate, and document minutes for finance committee.
- Prepare and present financial reports as requested by President & CEO to Board of Directors.
- Oversee completion and filing of all corporate income tax returns.
- Oversee all agency leases and contracts, including services contracts and agreements (DDS, MRC, UMass Medical, DMA, and individual employment sites); and maintain filing system that provides access for senior managers in network drive.
- Monitor use of external resources to ensure adequate technology resources for efficient operations while maintaining cost effective information technology systems.
- Maintain Fixed Asset Schedules and enter and process monthly depreciation expense.
- Develop/Maintain strong and positive relationships with banking partners, DDS Contracts staff, and all other external associates.
- Serves as Corporate Compliance Officer for the agency. Ensure implementation and review of corporate compliance in accordance with Corporate Compliance Program; prepare annual Corporate Compliance report.
- Adhere to Cooperative Production Inc.’s policies and procedures, respect confidentiality, and maintain a positive and professional attitude.
- Promote ongoing positive communication with all stakeholders, including staff, participants, family members, directors, and regulatory representatives to assure appropriateness, effectiveness, and efficiency of services.
- Amend work schedules and assignments contingent upon needs of Cooperative Production Inc. and individuals served.
