Position Summary
We are seeking a compassionate, dynamic, and service-oriented Care Navigator to join our thriving mental health private practice. As the first point of contact for prospective clients, the Care Navigator plays a vital role in ensuring that every individual feels seen, heard, and supported from the very first interaction. This role is ideal for someone with strong interpersonal skills, a natural ability to build rapport, and a talent for confidently communicating the value of therapy.
The ideal candidate is empathetic, patient, adaptable and able to listen attentively to a caller’s needs while guiding them toward the appropriate services we offer. A successful Care Navigator is not only a calm and grounding presence for individuals who may be reaching out in distress, but also someone who can effectively “sell” the benefits of our therapeutic services in a way that is both ethical and inspiring.
You will collaborate closely with clinical staff to match clients with the right provider, manage intake processes, and help ensure a smooth transition into care. This position is key to fostering trust and encouraging long-term engagement with our practice.
This position is work from home after 5 consecutive days of training. You will be provided office supplies to function seamlessly in the comfort of your own home.
You MUST be a resident of Massachusetts, preferably Middleboro, Brockton, Taunton, Bridgewater, Quincy

Monday - Friday: 9:00 AM - 2:00 PM
RESPONSIBILITIES
- Answer multi-line telephone system
- Manage incoming and outgoing calls
- Check voicemail messages & send text messages to patients
- Respond to patient emails
- Utilize and maintain working knowledge of EHR and CRM software (Theranest & Go High Level)
- Demonstrate empathetic listening for callers going through a tough time
- Obtain patient demographic and insurance information
- Follow scheduling protocols and guidelines
- Properly screen potential new patients
- Schedule new patient appointments for multiple therapists
- Provide excellent customer service to the mental health community
- Establish and maintain strong relationships with patients and therapists
- Attend weekly Zoom meetings with senior administrative staff

MINIMUM QUALIFICATIONS
- High School Diploma
- Driver’s license
- 2 years of administrative experience in the healthcare field
- Exceptional telephone & email etiquette (well spoken, articulate and friendly)
- Ability to follow both verbal & written instruction
- Access to reliable wifi
- Proficient use of office equipment and software (iPhone, Google Drive, Google Sheets)
- Capacity to make professional decisions based on accumulated knowledge of position
- Ability to work independently & proactively
REQUIREMENTS
- Must authorize and pass a background check
- Provide I-9 supporting documentation that proves your identity and eligibility to work in the United States
