Overview

We are looking for a friendly and organized Office Manager to be the first point of contact for our office. As the face of our company, you’ll play a key role in creating a welcoming environment for visitors and supporting day-to-day administrative operations. The is a full time role based in our Newton office 5 days per week.

General Responsibilities

Greet and assist visitors, clients, and vendors
Answer and direct phone calls
Manage office supplies, equipment, and vendor relationships
Maintain a clean, organized, and welcoming office environment
Keep kitchen stocked, clean & order supplies as needed
Coordinate schedules for meetings & interviews
Handle incoming & outgoing mail and deliveries
Help manage client-facing events at our office
General administrative tasks and special projects
Additional tasks as required

Shipping & Receiving Responsibilities

Create assets for new devices in inventory system
Received used devices and update inventory accordingly
Maintain expendable depot stock (such as boxes, tape & bubble wrap) to relevant standards
Clean exterior & reset/reimage used devices
Manage and maintain up-to-date records of all devices in the inventory management system
Support in device preparation for clients
Prepare and package shipments
Coordinate with shipping carriers (e.g., UPS) to resolve any delivery or logistics issues promptly
Execute additional SOP-based tasks related to device handling, preparation, and shipment as required

Office Events Responsibilities

Coordinating catering orders
Preparing food serving area
Assisting visitors during the event
Loading & unloading the dishwasher and light clean up after events

Qualifications

Previous experience in a receptionist or administrative role preferred
Excellent communication and interpersonal skills
Strong organizational and multitasking abilities
Professional appearance and demeanor
