Summary
The AM Foodservice Order Processor supports our Food Service division—formally known as HRI (Hotel, Restaurant, and Institution)—by serving as the primary daytime administrative and customer service resource for the department. This position plays a critical role in ensuring exceptional customer service while supporting daily order processing, inventory communication, pricing updates, shipping administration, and coordination between customers, sales, production, shipping, trucking, and logistics.
This role serves as the communication hub for the daytime HRI operation by responding to customer inquiries, processing customer orders, coordinating information between departments, and helping ensure orders are processed accurately and delivered on time.
The AM Foodservice Order Processor reports to the HRI Inside Sales Leadership.
Duties And Responsibilities
- Answer incoming customer and internal phone calls and direct inquiries appropriately while providing exceptional customer service
- Receive, review, enter, and confirm all incoming and scheduled customer orders submitted by phone, email and other communication channels, daily
- Serve as the primary daytime point of contact for customer service questions, order status updates, product availability, and general order support
- Communicate effectively with the Food Service sales team, production, shipping, trucking, logistics, and purchasing departments to ensure customer needs are met
- Organize and communicate daily on-hand inventory availability for the HRI division.
- Prepare and distribute daily inventory availability reports to the Category Managers and Sales Team.
- Coordinate retail pricing packages with Purchasing and Leadership on scheduled pricing days
- Maintain HRI pricing packages and pricing information within company systems
- Process all FedEx shipments and prepare associated shipping documentation
- Generate daily batch reports and picking documentation for Legal Sea Foods, Roche, and other designated accounts
- Process employee seafood orders for daily pickup
- Perform data entry and maintain accurate customer, pricing, inventory, and order records
- Print picking tickets and perform ship confirmation functions as needed
- Assist with completion of overnight ship confirmation paperwork and order reconciliation when opening the department
- Support the shipping and logistics teams by assisting with short product coordination and communication between production, picking, trucking, and sales to help fulfill customer orders and meet delivery schedules
- Assist in identifying order discrepancies and work collaboratively with internal departments to resolve issues quickly
- Perform routine administrative duties including reporting, filing, and system maintenance
- Maintain adherence to customer order deadlines, delivery schedules, and company service standards
- Other duties as assigned
Requirements
- 2+ years, experience in an order entry, shipping, or logistics position
- Experience working in a fast-paced environment, preferred
- Experience in food manufacturing; seafood or meat processing a plus
- Experience working with ERP or inventory management systems (NAV/Microsoft Dynamics experience preferred)
- Proficient with Microsoft Office Suite with emphasis on Excel
- Strong organizational and multitasking skills with the ability to prioritize changing workloads
- Strong written and verbal communication skills
- Strong project management and organizational skills; able to prioritize and manage multiple tasks and projects on time
- Exceptional interpersonal skills: able to navigate organizations to build relationships and garner support
- Strong customer service skills with a professional and solution-oriented approach
