About The Role
The Events and Communication Specialist will be responsible for management, coordination and execution of external and internal events organized by Nova Biomedical and for supporting internal employee communication. This role will involve close collaboration with our sales teams, our global marketing team, our product management team, and outside vendors. This role will also include event campaigning and promotion to ensure we fully maximize our attendance at each event as well as overall KPI tracking for ongoing optimization and ROI reporting.

What You’ll Do
- Event management and coordination (external and internal events): Lead the end-to-end planning and execution of all company events—including exhibitions, conferences, webinars, user group meetings, internal sales meetings, team-building activities, centers of excellence, co-marketing programs, and promotional campaigns— ensuring flawless delivery and maximum organizational impact
- Corporate Communication: Develop and deliver clear, timely, and consistent internal communications that strengthen alignment, reinforce company culture, and keep employees informed, engaged, and prepared during key initiatives, organizational updates, and change-management activities.
- Project Management: Oversee all operational components of event execution with precision—including budgeting, vendor negotiations, space design and preparation, logistics, marketing collateral, travel coordination, AV requirements, event promotion, and detailed roadbook creation—followed by comprehensive post-event analysis, reporting, and ROI evaluation.
- Global alignment: Ensure regional execution aligns with global segment strategies by collaborating closely with product management and regional sales and marketing teams, standardizing lead-scoring practices, and contributing to annual global event planning and best-practice sharing.
- Stakeholder collaboration: Partner with sales, marketing, product management, finance, logistics, and other internal stakeholders to ensure coordinated planning, seamless execution, and strategic alignment across all event-related activities.
- Problem Solving: Identify potential risks and operational challenges early, implementing proactive solutions to ensure every event is executed smoothly and professionally.
- Reporting: Provide structured updates to senior leadership on event progress, performance, and insights,
- including KPI tracking, lead-generation outcomes, attendee engagement, and data-driven recommendations for future planning.
- Cross-Platform Integration: Ensure cohesive and strategic promotion of all events across customer-facing channels—including email, social media, and inside sales campaigns—to maximize awareness, attendance, and engagement.
- Develop and proactively manage the events marketing budget.

What We Are Looking For In You
- Bachelor's degree in marketing, hospitality, business or related field
- 5+ years of experience in Marketing, Business, or a related field.
- Proven experience in event coordination, preferably in the Biopharma and Clinical sectors.
- Excellent communication and interpersonal skills
- Strong entrepreneurial mindset with a proactive, go-getter and solution-driven attitude.
- Strong project management skills with great attention to detail.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Ability to anticipate problems and devise effective solutions.
- Ability to work collaboratively with cross-functional teams.
- Willingness to travel as required.
- Comfortable working in a fast-paced environment and able to independently manage multiple projects.
- Demonstrated experience in managing and growing LinkedIn communities, with a track record of creating engaging educational content with strong digital design, content marketing and copywriting skills
- Ability to work with Salesforce.com (CRM)
- Fluent in using and reporting on KPIs, metrics and analytics (using Google analytics, Salesforce reporting and other analytics tools) for decision making and optimization of programs.
- Preferred: Experience planning global events and tradeshow
Physical Requirements For This Role Include
- Typical office environment (Hybrid role)
- Must be able to use basic office equipment: computer, printer, copier, telephone, etc.
- Must be able to remain stationary for long periods of time.
- Must be able to assess aesthetics of printed materials.
- Must be capable of communicating with stakeholders.
- Must be able to lift tradeshow marketing materials and up to 25lbs for tradeshows

Schedule/Hours: Monday to Friday, General Business hours
Targeted Salary Range: $80,000 - $90,000/year
