Assistant Dispensary Manager/Inventory Manager
The Assistant Dispensary Manager/Inventory Manager assists in the management and operation of a medical marijuana retail dispensary located in Pittsfield, Massachusetts, pursuant to and in compliance with local and state laws and regulations (including 105A CMR 725 and 935 CMR 500/501/502). In the absence of the Retail Manager, this position is accountable for the operation and has the authority to act on the Manager’s behalf. This role integrates retail operations support with key inventory management responsibilities, including ensuring the accurate and efficient processing of all deliveries (verifying count and labeling), accuracy of menus (in-store and electronic), system data (POS and METRC product details), and product test/batch information. Temescal Wellness MA is a start-up business operating in an ever-changing regulatory landscape, and as such, the following job description may not include all necessary tasks. All employees will be expected to pitch in, as needed, to ensure the successful start-up and operation of each facility.
Operations Responsibilities:
- Hiring, managing performance, training, mentoring and supervising dispensary staff to set expectations, hold staff accountable and applaud successes.
- Support Retail Manager in creating a regular schedule of communication through meetings (daily shift meetings, one on ones, all team meetings), newsletters or emails and team building events.
- Instilling and fostering a culture of exceptional customer service through hands-on modeling, coaching, training and recognition
- Ensuring budget targets are met for sales, labor and expenses
- Maintain merchandising standards that deliver a consistently well-stocked and beautifully merchandised dispensary while ensuring brand integrity and cohesive store experience
- Complying with all applicable government regulations and Temescal policies and procedures, and ensuring accountability for the same among staff, including “seed to sale” and POS software, security (identity verification, camera coverage & visibility), cash handling, workplace safety and confidentiality, among others
- Ensuring the efficient maintenance and operation of Temescal’s assets at each retail location, ensuring facility maintenance contracts are negotiated and in place.
- Contributing to and maintaining retail and inventory related Standard Operating Procedures (SOPs) to ensure that the most up-to-date thinking is integrated to continuously drive operational improvements
- Complying with medical program and HIPAA regulations as it relates to retail operations/dispensing, handling of all patient data and maintaining of patient database
- Assisting state and local governmental auditors and law enforcement with inventory, sales and compliance audits;
- Upholding all standards pertaining to dispensary cleanliness, sanitation and mandated health and safety protocols per state of emergency requirements
- Complying with all Massachusetts and Temescal specific policies and procedures related to confidentiality and non-disclosure
- Assisting with any other tasks, responsibilities or special projects that are assigned by the Dispensary Manager
Inventory Responsibilities:
- Drive weekly retail orders to production and actively participate in weekly calls with Production and Procurement
- Participate in weekly inventory ordering based on data analysis, market trends, and customer requests
- Coordinate deliveries with internal production stakeholders and third party vendors
- Confirm all products that are delivered to the Dispensary are accurate and compliant (manifest counts and labels)
- Receive and process all deliveries to the dispensary in a timely manner and ensure the Retail Operations Specialist is trained and prepared to do so in your absence
- Ensure accurate inventory by working with the retail team to label all product with barcodes to match METRC tags
- Ensure all items are built out correctly in Dutchie POS (brand, strain, test info, batch #s) and METRC when the Regional Inventory Manager is unavailable
- Communicate effectively with management, production, and vendors when there are issues to quickly resolve those issues and take ownership of corrective actions to ensure implementation
- Daily check of the Dutchie online menus for accuracy and optimization
- Monthly checks of expiration dates of all products to communicate with Regional Inventory Manager and Director of Business Development and discount when necessary to avoid items being destroyed
- Lead monthly inventory audits, in accordance with compliance policies, of Dutchie POS and METRC for inventory and sales validity of all product on site, investigating any discrepancies and filing paperwork once completed
- Oversee the ordering/supply of accessories and stay current with new items
- Communicate to the team new product details and inventory updates to ensure we provide the best possible customer service to guests regarding product availability
- Participate actively in ongoing training of associates on best inventory practices
- Uphold all standards pertaining to Serv-Safe for infused product handling
Requirements:
- Must be 21+ years of age
- Previous supervisory experience in a high-volume retail setting
- Applied knowledge of high-volume retail sales best practices, especially the sale of
- regulated consumable and health products
- Ability to learn, operate and administer software relating to inventory control/electronic tracking, point of sale and business operations (e.g., inventory management software, MA Virtual Gateway)
- Cannabis industry experience strongly preferred, to include excellent METRC skills
- Ability to visually examine products for quality and signage/labeling accuracy and compliance
- Enjoy a start-up environment that requires the ability to adapt to change and improvise to overcome unexpected challenges
- Exhibit a “can-do” attitude and a willingness to take on new responsibilities and tasks as they become necessary
- Ability to assure compliance by demonstrating attention to detail and the aptitude to process and internalize a large volume of information, most specifically around state regulations
- Attention to detail and relentless pursuit of accuracy and of achieving efficiency through technology and scalable processes
- Strong written and oral communication skills, and ability to effectively interface with a large, diverse population of patients, team mates, vendors, regulators, community members, and other stakeholders
- Ability to thrive and effectively manage time in a challenging start-up environment: being adaptable to regulatory changes, building team rapport, disciplined adoption of standard operating procedures, identifying inefficiencies and contributing to the continuous improvement of operations
Physical Requirements:
- The ability to stand and walk for extended periods of time;
- Bending, squatting and stooping, twisting and bending the neck and waist and reaching above and below shoulder height to grasp objects;
- Bending and lifting loads of up to fifty (50) lbs;
- Using hands for grasping, pushing, pulling and fine manipulation
