About The Position
The Operations Manager (OM) will report to the Director of Operations (DOO). The OM will design and implement systems that support efficient and effective operations to ensure the highest quality of daily teaching and learning at APR. They work with the school based leaders, MDoO, DOO, and other members of the operations team to execute a vision of operational excellence that supports and is informed by the instructional work we are doing with students and teachers, as well as by our work with families to build community and meaningful learning partnerships.
Primary Responsibilities:
- Uphold systems that allow for holistic operational success
- Work in collaboration with Chief Schools and Strategy Officer, MDoO, DOO, and school based leaders to operationalize the academic and cultural visions of success of the schools
- In collaboration with school based leadership, execute and uphold procedures and deploy staff for key systems such as arrival, lunch, break, and dismissal to maximize student learning
- Regularly provide feedback on the effectiveness of school based operational systems
- Ensure that the school is prepared for emergencies by supporting all drills and staff trainings on emergency plans
- Consult with the MDoO and other leads of the operations team (Facilities, IT, Enrollment, Nutrition, Registrar) to ensure success of organizational operational goals and receive work as delegated by the DoO and MDoO
- Demonstrate proficiency in data systems, including: PowerSchool, DeansList, Final Forms, Driveline
- Build and execute a coverage system in the event of staff call-outs or unavailability
- Contact substitute teachers and build a daily coverage schedule
- Effectively communicate coverage plans to all staff via a Morning Memo
- Accurately track time and attendance for substitute teachers in ADP and collaborate with the finance team to ensure accurate time and attendance and payroll for all substitute teachers
- Maintain a centralized space where substitute teachers can access instructional materials and classroom supplies
- Support the DoO with substitute teacher onboarding and training, including communicating with substitutes to schedule their training
- Communicate with staff around coverage systems, such as APR’s call out procedures, expectations for materials and schedules
- Oversee transportation for all APR students and act as a liaison between BPS and APR to ensure an efficient and seamless bussing system
- Maintain an accurate BPS transportation roster, including transportation accommodations for all students, and communicate transportation plans to families as necessary throughout the year
- Collaborate with the Director of Enrollment and Family Engagement to ensure that all new students have the appropriate transportation
- Act as a liaison between APR and BPS, and troubleshoot transportation issues with DoO and MDoO as they arise
- Work with DoO and MDoO to promptly inform families of disruptions from routine bussing assignments
- Oversee the inventory and procurement of instructional and non-instructional supplies, and uphold systems to promote the upkeep of physical spaces
- Inventory supplies in grade 5-12 staff rooms on a regular basis, and order supplies as necessary in response to the inventory and staff members’ needs
- Analyze ordering trends for classroom supplies to accurately order and stock each staff room
- Maintain systems for tracking and ordering supplies in collaboration with the fiance team
- Communicate supply procedures to all staff during Dragon Institute and uphold these procedures throughout the year
- Establish systems to promote a positive, physical learning environment, including regular inspection and upkeep of common spaces, bulletin boards, and other areas as needed
- Act as a test coordinator for testing, including but not limited to Access, school-wide benchmarking assessments and MCAS
- Support the DoO with ordering supplies and organizing supplies for distribution to staff
- Collaborate with the DoO to build and communicate testing schedules
- Support the logistics for all special events and field trips
- Ensure special events (Family Nights, report card conferences, graduation, honors assemblies, etc) are properly planned with materials, and transportation requests as needed
- Oversee systems related to off-site field trips that allow staff to successfully plan legally compliant, safe and highly engaging field trips
Schedule: The position is a full-time (Monday - Friday) position with daily hours from 7 am - 3 pm.
The ideal candidate has:
- Experience in operations, ideally within the education sector
- Solid project planning skills to set goals, invest stakeholders, and deliver timely and high quality outcomes
- Ability to see the forest and the trees; can craft a vision, map a strategy, and implement with accuracy and detail orientation
- Knack for leveraging data to inform macro and micro decision making
- Strong written and verbal communication skills; models clear, compelling messaging to various audiences
- Possesses high emotional intelligence to build and sustain productive and affirming relationships, especially across lines of difference
- Ability to navigate ambiguity and build systems where there is opportunity for systems to be built
- Proficiency with Microsoft Office and Google Suite
- Proficiency with school data systems such as but not limited to Powerschool and DeansList
