The Department of State Police is seeking an Administrative Secretary at our State Police Academy.
The duties of this position will include, but are not limited to:
- Responsible for scoring up to 250 academic exams, maintaining complete and accurate academic records for 250 individuals at a time and computing the Grade point averages for up to 250 trainees that determine their seniority upon graduation.
- Perform secretarial duties of a confidential manner to ensure the timely processing of information; produce transcripts as requested, maintain organizational chart for the unit.
- Respond to inquiries from other agencies and the general public; refer inquiries to appropriate parties for action, receive and screen visitors and telephone calls.
- Review and process travel and reimbursement paperwork for unit, process training proposals for municipal training, prepare and coordinate unit postings.
- Prepare and process teletype requests and notifications.
- Coordinate and process paperwork and related materials for the Recruit Training Troop class orientation, including exam materials and exit interviews.
- Type, compose and/or prepare correspondence, reports and memoranda for signature according to standard procedure.
- Perform clerical activities such as bulk mailings for the State Police Academy, opening and routing daily mail and correspondence, scheduling appointments.
- Maintains files and records according to unit / agency procedures.
- Operates standard office equipment such as a photocopier, telephone, fax machine, shredder, and computer.

MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have a high school degree or equivalent and (A) at least five (5) years of full-time, or equivalent part-time, experience in clerical or secretarial work or (B) any equivalent combination of the required experience and substitutions below.
Substitution:
I. An Associate's degree may be substituted for two (2) years of the required experience.
