Role Description The Administrative
Assistant / Office Manager is a full-time, hybrid role based in Waltham, MA, with flexibility for work from home on Mondays and Fridays. This position supports daily office operations, including managing calendars, coordinating meetings, handling incoming calls, and greeting visitors. Responsibilities
include organizing documents, maintaining office supplies, processing mail, and assisting with billing and expense reports. The role also involves assisting the client service team with client investment applications and documentation, as well as preparing correspondence and presentations while supporting senior
leaders with executive administrative tasks, and helping coordinate internal events and client meetings. The individual in this role ensures the office runs smoothly, maintains professional standards, and provides responsive administrative support to the team.
Qualifications
- Strong Administrative Assistance and Clerical Skills to manage scheduling, records, document preparation, and general office support.
- Professional Phone Etiquette and Communication skills for interacting with clients, vendors, and internal team members.
- Experience with Executive Administrative Assistance, including calendar management, travel coordination, and meeting logistics for senior leaders.
- Proficiency with common office software (e.g., Microsoft Office and Co-Pilot) and comfort with learning new tools and systems.
- Excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment.
- Demonstrated reliability, discretion, and ability to handle confidential information appropriately.

- Excellent written and oral communication with the ability to solve problems and mitigate/manage obstacles presented
