STARS School is seeking a dependable, organized, and caring individual to serve as our School Secretary for the 2026–2027 school year. As a small, specialized school serving students with language-based learning differences, we are looking for someone who enjoys working with children, values relationships with families, and understands that every member of our team contributes to the success of our students.
STARS utilizes an Orton-Gillingham approach to literacy instruction, and we value candidates who appreciate the importance of structured, evidence-based practices in supporting diverse learners.
The School Administrative Assistant is often the first person students, families, and visitors encounter. This position requires professionalism, flexibility, strong organizational skills, and a willingness to jump in wherever needed to support the school community.
Responsibilities
- Answer phones, greet visitors, and serve as the primary point of contact for families and community members.
- Maintain student attendance records and follow up with families regarding absences.
- Prepare correspondence, reports, and other school communications.
- Organize and maintain confidential student records and files.
- Coordinate schedules, meetings, and appointments for school administration.
- Manage incoming and outgoing mail and monitor office supply needs.
- Assist staff with copying, printing, and other administrative tasks.
- Support the planning and coordination of school events, field trips, and special activities.
- Provide assistance to students who come to the office for support throughout the school day.
- Complete data entry and other record-keeping responsibilities as assigned.
- Work collaboratively with public school districts regarding out-of-district placements, student enrollment documentation, and the collection, maintenance, and transfer of special education records in accordance with applicable regulations and confidentiality requirements.
- Supervise students during lunch, recess, arrival, and dismissal as needed.
- Provide classroom coverage when necessary to ensure continuity of programming and student supervision.
- Perform other duties as assigned by the Executive Director.
Qualifications
- Experience working in a school or educational setting preferred.
- Candidates with a background in education, including experience as a paraprofessional, teaching assistant, substitute teacher, or other student-support role, are strongly encouraged to apply.
- Experience working with student records, special education documentation, and communication with school districts is highly desirable.
- Familiarity with Massachusetts special education processes and Chapter 766 out-of-district placements preferred.
- Familiarity with Orton-Gillingham principles or experience working in a school serving students with dyslexia or language-based learning differences is preferred, but not required.
- Strong organizational and communication skills.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Proficiency with Microsoft Office and general office technology.
- Excellent interpersonal skills and a positive, team-oriented attitude.
- Ability to maintain confidentiality and exercise sound judgment.
