Our client, a well‑established organization in Wilmington is seeking an Office & Administrative Coordinator to support daily operations. About 30% of the role is basic executive support, while the majority focuses on billing, transaction processing, reconciliation, vendor communication, and office administration.
Location: Wilmington, MA (Onsite)
Schedule: Mon-Fri, 8am-5pm (in office, does not offer Hybrid)
Compensation: $55,000-$70,000 + full benefits (medical, dental, 401k match, 3 weeks PTO)
Key Responsibilities
- Process invoices, billing, and transactional documents
- Reconcile shipments, vendor invoices, and account activity
- Communicate with vendors, customers, manufacturers, and the sales team
- Coordinate schedules, meetings, and administrative tasks for leadership
- Maintain office operations, documentation, and filing systems
- Support migration from a legacy ERP to a new cloud system
What You Bring
- 3+ years in office administration, billing, or vendor coordination
- Strong communication skills and comfort working across departments
- Highly organized with strong attention to detail
- Proficient in Microsoft Office; ERP experience a plus
- Professional, dependable, and able to manage multiple priorities
