We are looking for a highly organized and proactive Executive Assistant to provide essential support to senior leadership in Boston, Massachusetts. As part of this long-term contract position, you will play a key role in managing schedules, coordinating travel plans, and ensuring the smooth execution of executive-level meetings. This is an exciting opportunity to work in a dynamic environment while contributing to the overall efficiency of the organization.
Responsibilities:
• Manage and maintain executive calendars, ensuring all appointments and commitments are accurately scheduled.
• Coordinate domestic and international travel arrangements, including booking flights, accommodations, and transportation.
• Organize and prepare for executive meetings, including creating agendas and compiling necessary documents.
• Serve as a point of contact for internal and external stakeholders, ensuring effective communication and coordination.
• Track and prioritize tasks to meet deadlines and address urgent matters efficiently.
• Assist in handling confidential and sensitive information with the utmost discretion.
• Provide logistical support for events and conferences attended by executives.
• Monitor and resolve scheduling conflicts promptly to optimize workflow.
• Collaborate with other team members to ensure seamless operations across departments.
• Proven experience as an Executive Assistant or in a similar administrative role.
• Proficiency in calendar management and scheduling tools.
• Strong organizational skills with the ability to multitask effectively.
• Excellent communication skills, both written and verbal.
• Experience coordinating travel arrangements, including multi-leg itineraries.
• High level of professionalism and discretion when handling sensitive information.
• Ability to adapt to changing priorities and work in a fast-paced environment.
• Proficiency in Microsoft Office Suite and other relevant software applications.
