Position Overview

The Executive Coordinator is a mid-level administrative professional responsible for providing support to the Senior Executive Assistant and leadership teams across the institution. This role ensures seamless operations by managing schedules, coordinating communications, handling logistics, and assisting with key projects. The ideal candidate is highly organized, proactive, and deeply aligned with our mission and values. This position will help UUSC manage and plan major events occurring throughout the year. Travel approximately 25% of the time domestically or internationally may be part of managing events.

Key Roles And Responsibilities

  • Provide administrative and logistical support to the Senior Executive Assistant and leadership teams across the institution
  • Support event planning and coordination, including logistics and materials preparation
  • Manage calendars, schedule meetings, and coordinate travel arrangements for major events.
  • Prepare agendas, take minutes, and track action items for select meetings
  • Serve as a liaison between executives, staff, partners, and external stakeholders
  • Assist in drafting correspondence, reports, and presentations
  • Maintain organizational records, files, and databases with confidentiality and accuracy
  • Monitor and prioritize email communications, ensuring timely follow-up
  • Perform research and compile data for reports and strategic initiatives
  • Assist with special projects and initiatives that advance the organization’s mission

Required and Desired Qualifications

  • Bachelor’s degree in business administration, nonprofit management, or a related field (or equivalent knowledge and skills from experience)
  • Minimum 2-3 years of administrative or coordination experience, preferably in a nonprofit setting
  • Minimum 2-3 years of experience in event planning from start to finish, including planning, scheduling, and coordinating tasks successfully
  • Experience in creating and managing budgets preferred
  • Familiarity with event management software, registration platforms, and other technical tools
  • Strong commitment to equity, justice, and human rights
  • Excellent organizational and time management skills with strong orientation to detail
  • Demonstrated problem-solving and growth mindset with the ability to think on your feet and handle unexpected issues calmly and efficiently
  • Ability to work independently and collaboratively in a fast-paced environment
  • Ability to anticipate needs and take initiative to prevent or resolve problems
  • Ability to handle confidential information with discretion and professionalism
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools such as Monday.com

Physical requirements include the ability to operate a laptop and cellular phone, and other tools as related to the position, with or without reasonable accommodations. Travel approximately 25% of the time domestically or internationally may be part of managing events

Remote employees can be based in any state where UUSC is registered as a business, including MA, ME, CT, NY, MD, Washington D.C., VA, NC, FL, GA, MN, WA. Hybrid employees must live within commuting distance to the Cambridge, MA office and be available for weekly commuting to work in Cambridge.
