Administrative Assistant (I & I): Role Summary

The candidate will be responsible for the coordination of the day-to-day administrative activities for the Inflammation & Immunology Development

Department including dedicated administrative support to members of senior leaders.

Responsibilities also include calendar management, meeting coordination, and ensuring appropriate distribution of meeting materials. The candidate will be expected to interact appropriately with senior leaders, scientists, clinicians, academic collaborators, vendors and all visitors. The candidate will be expected to learn and execute the internal procedures of Pfizer, ensuring 100% adherence to compliance regulations, assisting with office peripherals, preparing expense reports and assisting with travel logistics as required.

The candidate will partner with other administrative staff members in a professional and team-oriented approach. The candidate will also be responsible for providing back-up support to the Operations group.

What You Will Achieve

In this role, you will:

Maintain calendars of team members; prioritize meetings, book meeting rooms, anticipate conflicts and uses diplomacy to resolve problems in advance.
Set up teleconferences, Teams, videoconference and in-person meetings for all principals and ensure all materials and technology needs are available and operational.
Make travel arrangements, provide detailed itineraries, prepare and submit expense reports and perform reconciliations.
Capture meeting minutes for scientific leaders.
Maintain and/or access departmental or company document/knowledge repositories, websites, and business systems (e.g. SharePoint), as needed. Expedite flow of work items and initiate follow-up when necessary.
Purchase and track orders for office peripherals using the appropriate Pfizer systems.
Provide backup administrative support to ensure business continuity for the I&I Operations Team.
Assist and perform ad-hoc duties for members of the broader I&I department, as needed.
Ensure accuracy of work, use judgment to determine work methods, and proactively organize workflow.

Here Is What You Need (Minimum Requirements)

High School Diploma or GED with at least 6 years of experience
Demonstrated planning and organizing skills
Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Word
Excellent attention to detail and interpersonal skills
Ability to work with confidential documents and information
Strong communication and collaboration skills
Ability to carry out all office functions proficiently and complete quality work on a timely basis

Bonus Points If You Have (Preferred Requirements)

Prior experience as an Administrative Assistant supporting leadership in a global organization
Knowledge of the pharmaceutical industry and healthcare environment
Strong organizational skills and the ability to manage multiple tasks simultaneously
Proactive approach to work and the ability to initiate follow-up actions

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

Occasional travel for offsite meetings

The salary for this position ranges from $32.46 to $54.10 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
