Office Manager (Hybrid Role)

Mother & Son Lawn Care LLC is hiring an Office Manager (Hybrid Role) to help keep the company organized, responsive, and running smoothly behind the scenes.

This is not a basic receptionist position. This is a remote hybrid operations-support role built to help protect revenue, support scheduling, handle client communication, collect payments, place product and material orders, and reduce owner distraction by keeping day-to-day office responsibilities moving correctly.

The right person for this role is organized, dependable, detail-oriented, professional with clients, and able to manage multiple moving parts in a fast-paced service business.

Key Responsibilities

Client Communication

Answer incoming business calls and texts

Respond to new leads promptly and professionally Schedule estimates and service appointments Follow up on missed calls, voicemails, and open inquiries Help maintain a strong client experience from first contact forward

Scheduling & Operations Support

Assist with daily schedule coordination

Confirm appointments and service timing Help keep routes, visits, and estimate flow organized Communicate schedule updates to clients and team members Support smooth communication between office, estimator, field team, and owner

Administrative Management

Maintain organized client records, notes, and service history

Keep contracts, paperwork, and internal files organized Assist with invoicing, payment follow-up, and collections Collect outstanding payments professionally and consistently Help maintain clean communication records and follow-up systems

Ordering & Office Coordination

Place product and material orders as directed

Coordinate with vendors and suppliers when needed Help track office-side support needs for jobs and recurring services Support smooth day-to-day administrative flow across the business

Owner Support

Reduce owner interruption by handling appropriate office responsibilities correctly

Escalate the right issues instead of escalating everything Help keep communication structured and organized Provide end-of-day reporting daily Help maintain consistency, professionalism, and operational flow

Position Details

Pay:
$22–$26 per hour depending on experience

Hours:
Approximately 25–40 hours per week depending on workload and season. Preferred hours are 9am-2pm. Must be willing to move to full time when role is supported.

Location:
Remote but be near Worcester, MA for when we transition to an office space.

Ideal Candidate

We are looking for someone who is:

detail-oriented professional with customers calm and clear under pressure strong with follow-up and communication comfortable handling responsibility without constant supervision confident collecting payments professionally comfortable placing orders and coordinating office needs dependable, consistent, and solutions-oriented

Experience in landscaping, construction, trades, or another service-based business is preferred.

Winter Structure

Mother & Son Lawn Care LLC operates in a seasonal New England industry.

Unlike a pure field role, this position may continue with reduced or adjusted winter hours depending on operational needs, administrative workload, planning, collections, customer communication, and seasonal support demands.

This is intended to be a long-term role within the company structure, not just a short-term seasonal seat.
