Administrative Assistant
Location: Boston, MA (On-site 3 days/week: Monday–Wednesday)
Schedule: 9:00 AM – 2:00 PM
Pay: $25–$30/hour, depending on experience
Key Responsibilities

Answer and route phone calls, emails, and general inquiries appropriately
Greet visitors and manage front desk reception duties
Coordinate conference room scheduling and setup
Manage building visitor check-in, access, and security protocols
Process incoming and outgoing mail, including sorting and distribution
Scan, process, and route invoices and checks (tenant and non-tenant)
Support remote employees by scanning and forwarding mail as needed
Maintain office and kitchen supplies, ensuring inventory is stocked
Place supply orders and track deliveries
Handle building service requests (lighting, temperature, cleaning, ID badges, etc.)
Coordinate with vendors for office services (e.g., beverages, cleaning, shredding, supplies, shipping)
Manage FedEx shipments and coordinate outgoing packages on a weekly and as-needed basis
Track and maintain company swag inventory, including restocking
Assist with seasonal tasks such as sending holiday cards to clients and partners

General Administrative Support

Provide ongoing administrative assistance to staff and leadership
Support ad hoc projects and initiatives as needed
Maintain confidentiality and handle sensitive information with discretion

Qualifications

3+ years of experience in office administration, administrative support, or a similar role
Strong written and verbal communication skills
Excellent organizational skills and attention to detail
Ability to prioritize tasks and anticipate needs proactively
Comfortable working independently and taking initiative
Professional demeanor with strong interpersonal skills; able to interact with all levels of staff
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Willingness to handle a variety of tasks, including routine and hands-on responsibilities

Working Conditions

Primarily office-based work using a company-provided laptop
Occasional lifting, bending, and moving of boxes or supplies
Must be able to lift up to 10 pounds at times
